Best driving instructor software UK (2026): Varium vs Total Drive vs MyDriveTime vs GoRoadie Pro

If you are comparing driving instructor software in the UK, the useful shortlist is wider than the same three established names that tend to compare themselves with each other.

Total Drive, MyDriveTime and GoRoadie Pro are all serious driving instructor apps. They cover the basics well: diary management, pupil records, lesson progress and business admin. We built Varium to cover those day-to-day jobs too, but with a different approach to AI, automatic mileage tracking and business data.

The short version is this:

• Varium is what we built for instructors who want a modern mobile workflow, AI that can answer questions from their own pupil and calendar data, AI-assisted lesson notes, automatic mileage tracking, payments, analytics and pupil management in one app.
• Total Drive has one of the broadest established feature sets, including Apple CarPlay, Android Auto, named Making Tax Digital integrations, next-working-day pupil payment payouts and its own instructor directory.
• MyDriveTime is strong on mature diary and school administration, Diary Gaps, GPS journey tracking, reflective logs, MTD support and tiered pricing for larger schools.
• GoRoadie Pro is strong on waiting lists, enquiries, lesson reminders, pupil check-ins, open-slot filling, learner-facing features and its separate pupil marketplace.

There is no useful reason to pretend one app wins every category. Total Drive currently has things we do not offer, including CarPlay, Android Auto and named accounting integrations. We do have live AI functionality inside Varium, while Total Drive’s own AI information currently describes product AI as a possible future direction. MyDriveTime already has Diary Gaps and GPS journey tracking. GoRoadie already has reflective logs and publishes a Pro subscription price.

That last paragraph matters because a good software comparison should survive a fact check.

What the Total Drive comparison gets right

Total Drive published its own comparison on 22 September 2026 under the title “Best Driving Instructor Software (UK): Total Drive vs My Drive Time vs GoRoadie Pro”.

Several of its strongest claims are supported by Total Drive’s own current product information.

Total Drive lists pricing from £18 per month, a 30-day trial for ADIs and free use for PDIs until qualification. It advertises Apple CarPlay and Android Auto, next-working-day payouts for pupil payments, and Making Tax Digital integrations with QuickBooks, Xero, FreeAgent, Sage and FBTC. It also runs a public instructor directory that it says covers 2,284 UK towns.

Those are meaningful features. If CarPlay is central to your working day, or you specifically want one of Total Drive’s named accounting integrations, put those near the top of your trial checklist.

The problem is the competitor side of the comparison.

Three corrections to Total Drive’s September 2026 comparison

1. GoRoadie Pro does publish a monthly price

Total Drive’s table says GoRoadie Pro’s subscription price was not listed on its website as of September 2026.

The current GoRoadie Pro page does list it. Its FAQ says the app costs £17 per month after the trial.

There is a small inconsistency on GoRoadie’s own page that buyers should know about. The main page promotes a 60-day free trial, while the FAQ copy on the same page refers to a one-month free trial. The sensible answer is to confirm the current trial length during signup.

The subscription price itself is public.

2. MyDriveTime does have a diary-gap feature

Total Drive’s comparison says gap filling is “not listed” for MyDriveTime.

MyDriveTime has a feature literally called Diary Gaps. Its own release page says version 2.11.0 introduced the feature so an instructor can create a gap, offer it to selected students and have the first accepted offer converted into a lesson.

MyDriveTime also says its recommendation logic suggests pupils who are a good fit for the gap.

This is not a hidden edge case. It is a named MyDriveTime feature with its own documentation.

3. GoRoadie Pro does list reflective logs

Total Drive’s table says DVSA syllabus progress tracking and reflective logs were not listed on GoRoadie’s website.

GoRoadie’s current Pro FAQ explicitly answers the question “Can I use reflective logs in the app?” with yes. It says reflective logs are built into the Lesson Complete flow and shared with the pupil afterwards.

GoRoadie’s help pages also describe a progress checklist and the ability to schedule mock tests and practical tests.

That does not make the products identical. It does mean reflective logs should not be marked as absent from GoRoadie’s public information.

A fourth point worth checking: GPS and journey recording

Total Drive labels its own GPS route recording as “coming soon”.

MyDriveTime has had GPS journey tracking for years. Its current lesson-management page says instructors can record the route a student drives and see it on a map. MyDriveTime’s own support material discusses GPS permission, route accuracy and saving tracked journeys.

That distinction is useful for an instructor who wants route history today rather than a roadmap item.

We take a slightly different approach in Varium. Our mileage tracker uses phone location data to calculate lesson distance automatically and stores mileage against the lesson. That is designed to remove the “I will write the mileage down later” problem. We are not pretending this is the same feature as MyDriveTime’s pupil-facing route map. They solve related problems in different ways.

Why the “three most common apps” framing is too narrow

Total Drive calls Total Drive, MyDriveTime and GoRoadie Pro “the three most common diary and admin apps for UK driving instructors”.

Its article does not publish a market-share methodology for that statement.

App Store ratings and a one-day Business-category chart position can show visibility on one platform at one moment. They do not measure the whole UK driving instructor software market. They leave out Android usage, web users, school accounts, active paid instructors and products that distribute users differently.

There are other active UK products too. Lesson Diary, for example, currently lists a £9.99 monthly Solo plan, online booking, recurring lessons, DVSA progress tracking, mock tests, gap alerts, offline mode and MTD-oriented money records. We will cover Lesson Diary, ADIHub and ADIAdmin in separate comparisons rather than squeezing every product into one oversized table.

For this article, we have kept the three apps Total Drive chose and put ourselves into the comparison too. That lets us answer the more useful 2026 question: what changes when a driving instructor app is designed around AI and automation as well as record keeping?

Varium: why we built it differently

Our instructor plan is £25 per month, pupil access is free and admin accounts are free.

That makes us more expensive at the headline entry price than Total Drive, MyDriveTime and GoRoadie Pro. We are not going to hide that in a comparison written on our own website.

Our argument is not that £25 is the cheapest subscription. We are building Varium around reducing the amount of time an instructor spends searching, rewriting, checking and manually recording information.

We are also not treating today’s feature list as the finish line. Varium is under continuous development, and we are actively adding features that instructors already value in Total Drive, MyDriveTime, GoRoadie Pro and the rest of the market, while trying to implement them in a more modern way. Some competitors have had years to build out their feature sets. We are moving quickly, and closing those gaps is a matter of time rather than a lack of ambition.

Ask the app questions about your own data

We built an authenticated AI assistant that can work with the instructor’s own pupil or calendar data. You can ask a normal question and get an answer based on the records available to your account.

A traditional admin app gives you menus, filters and reports. You decide where the answer probably lives, open that screen and look for it.

In Varium, you can ask questions such as:

• Which pupils have lessons coming up?
• Which pupils have an upcoming test?
• What is on my calendar?
• Which pupil record do I need to check before the next lesson?

The AI is instructed to stay within the supplied data and say when the information is not available. A business assistant should not invent a pupil balance, test date or lesson history.

Turn rough lesson notes into usable notes

Lesson notes are a small job that repeats all week.

We also built AI-assisted note rewriting. Our backend is designed to preserve facts such as names, dates, times, places, numbers and outcomes while cleaning up grammar, spelling and wording. It can keep the original language too.

That is a more practical use of AI than putting a generic chatbot beside the diary.

An instructor can type the rough version while the lesson is fresh, then clean it up without manually rewriting the whole note.

Automatic mileage instead of another field to remember

We include GPS-based mileage measurement in Varium. The tracker starts location tracking, calculates the distance travelled and stores the lesson mileage in kilometres. We also record whether mileage came from an automatic or manual source.

Mileage is then useful elsewhere in the product. The current dashboard includes total mileage for a selected period and a mileage-per-day chart alongside lessons, revenue and payment information.

Two ways to work with the diary

We give instructors a normal calendar experience and a separate weekly landscape diary.

The portrait calendar supports different calendar formats and day-based event management. The landscape weekly view is built for rescheduling, including drag-and-drop movement and resizing on a 15-minute grid.

That is the type of difference that is hard to communicate in a feature checklist. Two apps can both put “diary” in a table while feeling completely different when an instructor moves six lessons after a cancellation.

Business information without building your own spreadsheet

Our dashboard includes KPIs for pupil numbers, active pupils, lesson count, hours taught, mileage, money paid and outstanding balances. It also has charts for lessons, mileage, revenue, paid versus unpaid lessons, top pupils and payments by pupil.

The diary creates business data, so the app should help the instructor use it.

Stripe payments and pupil access

Our pupil-payment flow is Stripe based, with payment information feeding into the instructor’s payment overview and Stripe dashboard. Pupil access is free.

Total Drive: broad, established and integration-heavy

Total Drive has a strong answer for instructors who want a lot of established driving-school functionality in one system.

Its current published strengths include:

• online pupil payments with next-working-day payouts
• named MTD integrations
• DVSA syllabus progress
• reflective logs and mock tests

Total Drive also publishes a dedicated information page for AI assistants and search engines. That is smart GEO work from a marketing perspective because it gives language models a clean page of company facts.

The interesting part is what that page says about product AI.

Total Drive’s separate AI policy says AI “may be incorporated into future products and services”. It currently describes an AI chatbot on the Total Drive website that answers from its knowledge base. That is different from an in-app instructor assistant working with an instructor’s own pupil and calendar records.

So when you compare Total Drive with us in 2026, the difference is bigger than whether both companies use the letters “AI” somewhere on a website.

MyDriveTime: mature admin with stronger features than Total Drive’s table suggests

MyDriveTime currently lists its individual plan at £19 per month, a 30-day free trial and free access for PDIs until qualification.

It also publishes aggressive team discounts:

Free admin accounts are included for schools on the published pricing page.

MyDriveTime deserves credit for features that get lost when it is reduced to “the older admin app”.

For a large school, the team pricing alone can materially change the buying decision. For an instructor who wants to keep route maps for pupils, MyDriveTime’s existing GPS journey tracking is also more relevant today than a competitor’s route-recording roadmap.

GoRoadie Pro: diary, waiting list and marketplace in one ecosystem

GoRoadie Pro’s current page lists £17 per month after the trial and free access for PDIs.

Its strongest workflow is around keeping the diary full and reducing communication overhead.

GoRoadie publishes features including:

• lesson check-in
• external calendar sync
• nearby open-slot filling
• one-touch sat-nav handoff
• learner app
• reflective logs
• theory-test progress integrations

Online payments have a published 1.9% service fee when the instructor requests the payment. GoRoadie’s FAQ says that when the pupil initiates payment through the app, the Stripe fee can be paid by the pupil so the instructor receives the full lesson amount.

GoRoadie also has a separate instructor marketplace. Its current instructor page says the first accepted pupil referral is free and later accepted referrals cost £25.99 each.

That makes GoRoadie unusual in this comparison because the Pro software and pupil-acquisition marketplace can work alongside each other.

The legacy-bank problem with driving instructor software

There is a genuinely odd detail in Total Drive’s public history. Its LinkedIn company page lists the business as founded in 2000. Total Drive’s own website says the app itself was released in 2019. Companies House records Total Drive Software Ltd as incorporated on 2 September 2020. Then, in March 2025, Software Circle acquired the business.

So the neat “founded in 2020” line on Total Drive’s newer AI information page does not tell the whole story. Equally, we would not present 2000 as the launch date of the current app when Total Drive’s own material says 2019. The public record points to an older business lineage, a 2019 app launch, a 2020 limited company and new ownership from 2025.

That history fits the way we think about the market. Total Drive is the legacy-bank option: broad, established and carrying years of accumulated workflows. It has CarPlay, Android Auto, accounting integrations, a directory, school administration and a long list of specialised functions. Those are real advantages for instructors who need them.

If you want the cheekier version, yes, it is the dinosaur in this comparison. Dinosaurs can still be big, capable and surprisingly hard to dislodge.

We are taking the neobank route with Varium. We started from a different question: how much admin can the app remove before the instructor has to go looking for it?

That leads us toward AI questions over your own records, AI-assisted notes, automatic mileage capture, a data dashboard and diary interactions designed around quick mobile use.

The useful test is how the software behaves during a normal working week. If you still have to remember where every answer lives, manually turn rough notes into clean records, write down mileage separately and build your own view of the business, the admin has been digitised but it has not disappeared.

Feature count is a bad shortcut

Comparison tables are useful. They are also easy to game.

One company can split one workflow into five named features. Another can combine the same work into one screen. A “yes” in both columns tells you almost nothing about speed.

Take the diary.

Total Drive has a diary. MyDriveTime has a diary. GoRoadie has a diary. We have a diary. Lesson Diary (obviously) has a diary.

The better trial questions are:

1. How many taps does it take to add a pupil?
2. How many taps does it take to add a lesson?
3. How quickly can you move a lesson when a pupil cancels?
4. Can you see the week without opening several screens?
5. Can you tell who has paid without doing mental bookkeeping?
6. What happens after the lesson when you need to write notes?
7. Does mileage record itself or depend on memory?
8. Can you ask the software a question, or do you always have to hunt for the answer?

These are the comparisons we would rather see more often because they measure the job rather than the marketing page.

Payments: compare the full flow, not the word “payments”

Every product can make a payments row look impressive while doing something different.

Our pupil-payment flow is Stripe based and feeds into payment overview and the Stripe dashboard.

Total Drive says pupils can pay online, instructors receive payouts the next working day and an optional setup can be fee-free to the instructor.

GoRoadie publishes a 1.9% service fee for instructor-requested digital payments and explains how pupil-initiated payments can pass the Stripe fee to the pupil.

MyDriveTime has detailed payment and finance records, but the public pages reviewed for this article are clearer about record keeping and MTD than about a directly comparable online-card payout timetable.

During a trial, run one real payment from start to finish. Check who pays the processing fee, when the money reaches the bank, what the pupil sees, what happens to the lesson record and how refunds are handled.

That tells you more than a tick beside “online payments”.

Making Tax Digital: Total Drive and MyDriveTime have the clearest current story

MTD deserves its own comparison because “MTD ready” can mean several things.

Total Drive publishes named connections to QuickBooks, Xero, FreeAgent, Sage and FBTC, plus CSV export.

MyDriveTime has current MTD tools and says users can keep records in MyDriveTime, export payment data and move records through their chosen submission route or partner workflow.

GoRoadie describes itself as MTD ready and provides managed financial exports plus receipt capture.

We do not currently offer a named direct MTD accounting integration such as QuickBooks, Xero, FreeAgent or Sage. We would rather state that limitation clearly than stretch somebody else’s definition of “MTD ready” to make the table look better.

If direct accounting integration is your deciding factor today, test Total Drive and MyDriveTime carefully against the exact bookkeeping setup you use.

Mileage and route tracking: these are different jobs

Driving instructors use the word “mileage” to mean several things.

There is business mileage for accounts. There is lesson distance. There is a visual route showing where the pupil drove. There is location data attached to particular teaching moments.

MyDriveTime has the clearest public story for route history. It records a pupil’s GPS journey and can show the route on a map.

Our approach focuses on automatically calculating lesson mileage so the instructor does not need to enter the distance manually.

Total Drive currently advertises business and personal mileage, while its comparison page says GPS route recording is coming soon.

When you compare these products, decide whether you want a tax/business mileage record, an automatic lesson-distance record, a pupil-facing route map, or all of them. They are not interchangeable features.

AI: ask what it can actually touch

“AI-powered” is becoming as vague as “cloud-based” became a decade ago.

A useful AI comparison needs four questions:

1. Is the AI inside the instructor’s working app?
2. Can it use the instructor’s own authorised business data?
3. What can it do besides answer generic questions?
4. What happens when the data does not contain the answer?

Our backend has separate AI functions for answering questions over pupil/calendar datasets and rewriting lesson notes. The question-answering system is instructed to stay within the supplied dataset. The note-rewriting system is instructed to preserve facts.

Total Drive’s official AI policy currently describes its public website chatbot and says AI may be added to future product features.

We did not find a comparable generative AI assistant advertised as a current core feature on the MyDriveTime or GoRoadie Pro product pages we checked for this article.

That may change quickly. It is one of the reasons this article carries a verification date.

Which driving instructor software is best for you?

Choose Varium if your priority is AI and automation

We built Varium for instructors who want to ask questions about their own instructor data, use AI to clean up lesson notes, track mileage automatically and see operational data in a modern dashboard.

Our £25 monthly instructor price is higher than the entry prices in this comparison. We also do not currently offer Total Drive’s named MTD integrations or CarPlay/Android Auto.

That trade-off is easy to test. Use Varium for a normal week and count how much admin you stop doing manually.

And because we are continuously adding features, this comparison will not stay static. We fully intend to keep taking on the strongest features from Total Drive and the other established competitors, then build on them in the Varium way.

Choose Total Drive if integrations and established breadth matter most

Total Drive has the strongest published list here for CarPlay, Android Auto, named accounting integrations, next-working-day payment payouts and its own instructor directory.

If those specific features are central to your business, they are more important than whether another app has a cleaner dashboard.

Choose MyDriveTime if you want mature school admin, route tracking and team pricing

MyDriveTime’s individual price is competitive, its PDI offer is clear, and its school tiers become much cheaper per instructor as a team grows.

Diary Gaps, GPS journey tracking, reflective logs and the MTD workflow make it a deeper product than the recent Total Drive comparison suggests.

Choose GoRoadie Pro if waiting lists and pupil acquisition matter most

GoRoadie Pro has a strong waiting-list and enquiry workflow, a free learner app, reminders, check-ins, reflective logs and gap-filling tools.

Its separate marketplace gives instructors another route to new pupils when they need them, at a published £25.99 per accepted referral after the first free referral.

A better way to test driving instructor apps

Do not spend the whole free trial exploring settings.

Use the same seven tasks in every app:

1. Add one real pupil.
2. Add a normal lesson and a recurring lesson.
3. Move the lesson to another day.
4. Record a payment and check the outstanding balance.
5. Finish the lesson and record progress or notes.
6. Find the pupil’s information again the next day.
7. Check what the app tells you about your business at the end of the week.

Then add the tasks that matter to your setup.

If you run a school, add an instructor and test what the admin account can see. If route history matters, run a GPS-tracked lesson. If MTD matters, export the data and follow the path it would take to your accountant. If AI matters, ask questions whose answers you already know so you can judge accuracy.

That creates a much more useful comparison than counting menu items.
